Primary Responsibilities Invoice Processing – Accurately and efficiently process invoices from vendors by matching the appropriate purchase order and delivery tickets (if applicable) to the invoice. Reconciliation of the invoice to the purchase order to ensure applicable pricing, quantities, and freight charges. Ensure mathematical accuracy of invoice. Inform purchasing agent of discrepancies noted between purchase orders and invoices. Route applicable invoices to departments for approval. Post invoices in a timely fashion in Penta accounting software. Payment Processing – Upon authorization from the Assistant Controller, the processor will generate a check run consisting of approved invoices. Document Retention – Responsible for ensuring all invoice batches are scanned in a timely fashion. On a set schedule actual hard files will be destroyed. Responsible for accurate and orderly file retention. Vendor Relations – Communicate with vendors regarding invoice discrepancies, proof of delivery receipts, payment status, etc. Phone Relief – Perform phone relief duties for the receptionist as needed. Minimum Qualifications High School diploma or equivalent. 1-3 years billing experience in a high-volume environment. Strong communication and interpersonal skills with the ability to communicate effectively with a diverse employee/customer base. Ability to create, compose, and edit written materials. Strong organizational skills, ability to be proactive, and meet deadlines. Ability to develop new techniques to expedite, compliment, or enhance company results. Proficiency in Microsoft Office Suite (Word, Excel, and Outlook) and relevant accounting software experience.
